AGM minutes 2021 part 2

KCBA representative – Paul Proctor

PP on the night confirmed that KCBA have requested that Birchington host the Divisional Finals of the Cox Cup on Sunday 14th August 2022

Paul also reported from a recent meeting of KCBA that the Division have lost 6 clubs, Windmill, Belvedere, Bexley Vets, Gravesend Rugby FC, Plumstead and Eastry.  The Junior Vice position he held this year was the last as there will no longer be that title. All county competitions will now be 18 ends with the exception of Singles which will be first to 21 points. Affiliations fees will stay at £5 per head and BE fees the same.

CR on the night reported that KCBLA have requested that Birchington host the Ladies County Benevolent Competitions on Thursday 14th July 2022.

 

8  - Propositions

 

The Chairman then read out Proposition No. I.

 

 Proposal by Alan Back seconded by Mick Davis

                CLUB PRESIDENT AND VICE PRESIDENT

A proposition for the AGM - I would like to propose that the club continues its integration policy by revising the term of office served by the president and the number of presidents required, by adopting the following.

        A – Reduce length of term served to 2 years

        B – Have a lady CLUB PRESIDENT and a man CLUB VICE PRESIDENT followed two years later by a man

        CLUB PRESIDENT and a lady CLUB VICE PRESIDENT.

PS. This could also give an extra column on the honours board for the MARY BRILL winner. 

 

There followed a very energetic series of questions, opinions and discussions which left many people confused as to what the outcome might be. There were some valid points raised and some of these did not receive the full attention of all those attending. To try and encapsulate the dialogue recorded on the night this precis will show the points finally agreed in the vote.

 

“Proposal of two year term for President – agreed by members

There should be no Vice President as a Previous President could step in if required – agreed by members

The Candidates for approval be selected by the GPC and will be the RIGHT person for the role not gender specific.  Then be on the Notification list for a vote at the Next AGM by members”

If an unforeseen situation arises and a new President be required mid term an Extraordinary General Meeting will be called – agreed by members

 

The PS to the proposal – that the honours board space should be used for MARY BRILL winner – agreed by members

 

This being the case, means that Christine Rogers term as Club President began on 16th Nov 2021 and runs to AGM on 2023.   She entered the AGM 2021 as Ladies President which carried a 3 year term (taking over the reigns when Jenny Emms moved). Christine left the AGM as Club President on a 2 year term. 2021 to 2023

 

We the GPC may be seeking to set up a sub group to update the Constitution during 2022 and bring to the AGM in 2022 for approval by members or alternatively have an addendum produced to be added to the existing handbooks.

 

It was suggested we have a Life Members Board for the history of the club – this will be made a task in progress having received the approval of the members attending.

Life Membership position announced by the Chairman to be awarded to Mick Davis

 

During the discussion of vacancies there was very positive input from the floor which resulted in Pam Goodwin agreeing to help the secretary by taking on the administration for the tennis courts and MUGA activities.

Babs Hall and Brenda Stewart will take on the Hut duty and Tea duty rota collaborating so that a member will not do both duties on the same day.

A suggestion from the floor for a Social Member to be entitled to receive a copy of the Fixtures Book. This will be discussed and an edited version can be made available as in previous Pre Covid years.

 

Email group addresses for social members need to be recreated on secretary’s contacts list so that mail outs can resume – this will number about 200 and the error occurred due to hacking of her previous account.

Tennis members have been invited at least 3 times to attend a meeting for their views but only 4 turned up – they do not seem to want a formalised input to the club.

 

Social events details to be published on the website and perhaps a newsletter – to be addressed

Communication is not great and needs addressing – there has not been an induction for at least two years and we have many new members who remain uninformed about many aspects of the club and its many and varied jobs and functions. This will be addressed and a group induction will take place before next April.

                Andy Ennis -thanked those that have helped in the gardens and maintenance but stressed that we are none of us professional gardeners or maintenance people,the premises are like our own home and gardens – there are always jobs to be done.Keys to sheds to be identified.

We have all the tools in the sheds just need people – they can be social or full members

Whatever time you can spare will be very welcome – weeds are always present.

BB – Commented that if we had to pay for this help then club fees would have to go up.

 

BH asked for a list of alternative telephone numbers be held at the club for both full and social members. In the event of any incident which requires contact, especially for those that live on their own. It was pointed out that Data Protection GDPR 2018 rules would be broken if this were done without consulting the members personally.

In any emergency the first thing to do is contact Emergency Services who would deal appropriately.

 

For any minor contact “say a wallet left behind” we do understand the request.

 

In this event the Membership Renewal Form will be amended to ask for an alternative contact number to be supplied for this purpose. Any list then produced will then be held in a secure location but not on public view.

                 

A date was then fixed for the first GPC of the new season as Monday 6th December 2021 at 10 am in the clubhouse.

A proposition for the AGM - I would like to propose that the club continues its integration policy by revising the term of office served by the president and the number of presidents required, by adopting the following.

        A – Reduce length of term served to 2 years

        B – Have a lady CLUB PRESIDENT and a man CLUB VICE PRESIDENT followed two years later by a man

        CLUB PRESIDENT and a lady CLUB VICE PRESIDENT.

PS. This could also give an extra column on the honours board for the MARY BRILL winner.

During the discussion of vacancies there was very positive input from the floor which resulted in Pam Goodwin agreeing to help the secretary by taking on the administration for the tennis courts and MUGA activities.

Babs Hall and Brenda Stewart will take on the Hut duty and Tea duty rota collaborating so that a member will not do both duties on the same day.

A suggestion from the floor for a Social Member to be entitled to receive a copy of the Fixtures Book. This will be discussed and an edited version can be made available as in previous Pre Covid years.

 

Email group addresses for social members need to be recreated on secretary’s contacts list so that mail outs can resume – this will number about 200 and the error occurred due to hacking of her previous account.

Tennis members have been invited at least 3 times to attend a meeting for their views but only 4 turned up – they do not seem to want a formalised input to the club.

 

Social events details to be published on the website and perhaps a newsletter – to be addressed

Communication is not great and needs addressing – there has not been an induction for at least two years and we have many new members who remain uninformed about many aspects of the club and its many and varied jobs and functions.                 Andy Ennis -thanked those that have helped in the gardens and maintenance but stressed that we are none of us professional gardeners or maintenance people,the premises are like our own home and gardens – there are always jobs to be done.Keys to sheds to be identified.

We have all the tools in the sheds just need people – they can be social or full members

Whatever time you can spare will be very welcome – weeds are always present.

BB – Commented that if we had to pay for this help then club fees would have to go up.

 

BH asked for a list of alternative telephone numbers be held at the club for both full and social members. In the event of any incident which requires contact, especially for those that live on their own. It was pointed out that Data Protection GDPR 2018 rules would be broken if this were done without consulting the members personally.

In any emergency the first thing to do is contact Emergency Services who would deal appropriately.

 

For any minor contact “say a wallet left behind” we do understand the request.

 

In this event the Membership Renewal Form will be amended to ask for an alternative contact number to be supplied for this purpose. Any list then produced will then be held in a secure location but not on public view.

                 

A date was then fixed for the first GPC of the new season as Monday 6th December 2021 at 10 am in the clubhouse.

 Proposal by Alan Back seconded by Mick Davis

                CLUB PRESIDENT AND VICE PRESIDENT

A proposition for the AGM - I would like to propose that the club continues its integration policy by revising the term of office served by the president and the number of presidents required, by adopting the following.

        A – Reduce length of term served to 2 years

        B – Have a lady CLUB PRESIDENT and a man CLUB VICE PRESIDENT followed two years later by a man

        CLUB PRESIDENT and a lady CLUB VICE PRESIDENT.

PS. This could also give an extra column on the honours board for the MARY BRILL winner. 

 

There followed a very energetic series of questions, opinions and discussions which left many people confused as to what the outcome might be. There were some valid points raised and some of these did not receive the full attention of all those attending. To try and encapsulate the dialogue recorded on the night this precis will show the points finally agreed in the vote.

 

“Proposal of two year term for President – agreed by members

There should be no Vice President as a Previous President could step in if required – agreed by members

The Candidates for approval be selected by the GPC and will be the RIGHT person for the role not gender specific.  Then be on the Notification list for a vote at the Next AGM by members”

If an unforeseen situation arises and a new President be required mid term an Extraordinary General Meeting will be called – agreed by members

 

The PS to the proposal – that the honours board space should be used for MARY BRILL winner – agreed by members

 

This being the case, means that Christine Rogers term as Club President began on 16th Nov 2021 and runs to AGM on 2023.   She entered the AGM 2021 as Ladies President which carried a 3 year term (taking over the reigns when Jenny Emms moved). Christine left the AGM as Club President on a 2 year term. 2021 to 2023

 

We the GPC may be seeking to set up a sub group to update the Constitution during 2022 and bring to the AGM in 2022 for approval by members or alternatively have an addendum produced to be added to the existing handbooks.

 

It was suggested we have a Life Members Board for the history of the club – this will be made a task in progress having received the approval of the members attending.

Life Membership position announced by the Chairman to be awarded to Mick Davis

 

During the discussion of vacancies there was very positive input from the floor which resulted in Pam Goodwin agreeing to help the secretary by taking on the administration for the tennis courts and MUGA activities.

Babs Hall and Brenda Stewart will take on the Hut duty and Tea duty rota collaborating so that a member will not do both duties on the same day.

A suggestion from the floor for a Social Member to be entitled to receive a copy of the Fixtures Book. This will be discussed and an edited version can be made available as in previous Pre Covid years.

 

Email group addresses for social members need to be recreated on secretary’s contacts list so that mail outs can resume – this will number about 200 and the error occurred due to hacking of her previous account.

Tennis members have been invited at least 3 times to attend a meeting for their views but only 4 turned up – they do not seem to want a formalised input to the club.

 

Social events details to be published on the website and perhaps a newsletter – to be addressed

Communication is not great and needs addressing – there has not been an induction for at least two years and we have many new members who remain uninformed about many aspects of the club and its many and varied jobs and functions. This will be addressed and a group induction will take place before next April.

                Andy Ennis -thanked those that have helped in the gardens and maintenance but stressed that we are none of us professional gardeners or maintenance people,the premises are like our own home and gardens – there are always jobs to be done.Keys to sheds to be identified.

We have all the tools in the sheds just need people – they can be social or full members

Whatever time you can spare will be very welcome – weeds are always present.

BB – Commented that if we had to pay for this help then club fees would have to go up.

 

BH asked for a list of alternative telephone numbers be held at the club for both full and social members. In the event of any incident which requires contact, especially for those that live on their own. It was pointed out that Data Protection GDPR 2018 rules would be broken if this were done without consulting the members personally.

In any emergency the first thing to do is contact Emergency Services who would deal appropriately.

 

For any minor contact “say a wallet left behind” we do understand the request.

 

In this event the Membership Renewal Form will be amended to ask for an alternative contact number to be supplied for this purpose. Any list then produced will then be held in a secure location but not on public view.

                 

A date was then fixed for the first GPC of the new season as Monday 6th December 2021 at 10 am in the clubhouse.

PP on the night confirmed that KCBA have requested that Birchington host the Divisional Finals of the Cox Cup on Sunday 14th August 2022

Paul also reported from a recent meeting of KCBA that the Division have lost 6 clubs, Windmill, Belvedere, Bexley Vets, Gravesend Rugby FC, Plumstead and Eastry.  The Junior Vice position he held this year was the last as there will no longer be that title. All county competitions will now be 18 ends with the exception of Singles which will be first to 21 points. Affiliations fees will stay at £5 per head and BE fees the same.

CR on the night reported that KCBLA have requested that Birchington host the Ladies County Benevolent Competitions on Thursday 14th July 2022.
